Privacy & Terms

The short version: the events team pre-loads your details from your event application, you add your profile and questions, and other signed-in delegates see the profile part — never your dietary, accessibility, phone, seniority or ticket details. Direct messages are private; the events team can see who messaged whom, but not what was said. You can delete everything yourself from My Profile, and we delete it all 90 days after the event.

What we collect, and who put it there

Some of your information reaches this app before you do. When you applied for a place at the summit, the ProFinda events team collected your details on the event application form and loaded them into the app so your delegate record is ready when you arrive.

From your event application, the events team holds:

  • your name, job title, company and location;
  • your work email address and, if you gave one, your phone number;
  • your seniority or job level, and your ticket type;
  • your dietary requirements and any accessibility needs;
  • any notes the team made when reviewing your application.

You add the rest yourself, once you have signed up:

  • your photo, short bio, LinkedIn address and skills;
  • what you would like to get out of the event;
  • up to three questions you want help with;
  • answers you write to other delegates, discussion posts, questions you put to a session, and votes on other people’s session questions;
  • direct messages you send to other delegates, and the delegates you mark as favourites.

We also record when you accepted this policy, and which version of it you accepted.

Who can see what

The delegate directory is visible only to signed-in delegates. It is not public and it is not indexed by search engines.

Other signed-in delegates can see, from your profile: your name, job title, company, location, photo, bio, what you want from the event, your skills, your LinkedIn address if you added one, your questions and any answers you write. You can hide yourself from the directory entirely at any time from My Profile.

Only you and the ProFinda events team can see your phone number, dietary requirements, accessibility needs, seniority or job level, ticket type, and any notes from your application. These are never shown in the directory and are never visible to other delegates.

Your email address is not shown in the directory. It is used to sign you in, to match your sign-up to the record the events team pre-loaded, and for the events team to contact you about the summit.

Direct messages

Direct messages are private between you and the delegate you write to. No other delegate can read them.

To be straight with you about what the events team can see: they can see how many messages have been sent, who is talking to whom, and when — but not what any message says. Message content is not shown to the events team anywhere in the app. They use these figures only to see whether delegates are connecting and to spot misuse.

If a delegate reports a problem with a message, the events team may need to look into it — we would tell you if that involved reading a conversation.

Discussions, answers and session questions

Discussion threads, replies, answers on other delegates’ questions and questions put to a session are visible to every signed-in delegate, with your name and company attached.

They are moderated: the events team can lock, hide or remove a thread, a reply, an answer or a session question, and questions asked in a session are approved before they go on screen. Please treat these spaces as you would a room full of your peers, and don’t post anything confidential or commercially sensitive.

Announcements

The events team can send notices to everyone in the app. Some require an acknowledgement, in which case we record that you acknowledged it and when, so the team knows the message landed.

Automated matching

When you or another delegate asks “Who can help?” on a question, we send that question together with the public profile details of listed delegates — name, job title, company, skills, bio and goal — to an AI model to suggest the three most relevant people. Your private application details are never sent.

The suggestions are just that. No decision that affects you is made automatically, and nothing happens unless a delegate chooses to message someone.

Lawful basis

We rely on your consent to hold your delegate profile and show it to other delegates in the app; you give that consent when you accept this policy, and you can withdraw it by deleting your account.

We rely on our legitimate interests in running the summit safely and well for moderation, security and understanding whether delegates are connecting; and on legal obligation where we must keep records. We handle dietary requirements and accessibility needs, which can reveal health or belief information, only to make the event work for you, and only with your explicit consent.

We do not sell your information and we do not use it for unrelated marketing.

Where your information is held

The app and its database run on infrastructure operated on ProFinda’s behalf. Access is restricted to the people who need it. Delegate records can only be read by signed-in delegates, and the private application fields only by the events team.

Because this is an international event, information may be processed outside your home country. Where data protection law requires it, we use appropriate safeguards for those transfers.

How long we keep it

This is an event app, not a permanent directory. We keep delegate data for 90 days after the last day of the summit so the team can follow up, and then delete it. The events team can see the exact deletion date in the app and carries out the deletion.

If you delete your account before then, your data goes immediately — you do not have to wait for the retention period to expire.

Deleting your data

You can delete your account and data yourself, at any time, from the bottom of My Profile. You will be asked to type DELETE to confirm. It happens immediately and cannot be undone.

Deleting your account removes:

  • your profile, photo, bio, skills and directory listing;
  • your phone number, dietary requirements, accessibility needs, seniority, ticket type and application notes;
  • the questions you posted and the answers other delegates wrote on them;
  • every direct message you sent or received, on both sides of the conversation;
  • your favourites, your votes, your announcement acknowledgements;
  • your sign-in account.

One thing is kept, deliberately. Posts, answers and session questions you contributed to shared threads stay in place, because removing them would leave other delegates’ conversations making no sense. Your name is replaced with “Deleted delegate” and nothing in the thread links back to you or your record.

You can also email events@profinda.com and ask the events team to delete your data for you — the result is identical. And you can ask us to access or correct your information, object to or restrict how we use it, or receive a copy of it.

A few simple rules

Use the app lawfully, respectfully and for the purposes of the summit. Don’t impersonate anyone, misuse another delegate’s information, copy the directory for your own use, send spam, or post unlawful, abusive or inappropriate material.

In simpler terms: be useful and be decent.

We may remove content or suspend access where reasonably necessary to protect delegates, ProFinda or the event.

About the service

The app supports the summit and helps make introductions. Matches and suggestions are just suggestions; ProFinda doesn’t guarantee any particular introduction, connection or business outcome.

To the extent permitted by law, ProFinda isn’t responsible for decisions, conversations or arrangements delegates make independently between themselves. Nothing here excludes liability that cannot legally be excluded.

Who we are, and how to complain

This app is operated by ProFinda Limited, a company registered in England and Wales, which is the data controller for the information described here.

For anything about the app, your information or your privacy rights, write to the ProFinda events team at events@profinda.com. We aim to answer within 30 days.

If you are unhappy with how we handle your personal information, you can complain to the UK Information Commissioner’s Office at ico.org.uk, or to the data protection authority in your own country.
